Business Bots for Mountain Vacation Rentals

A guest can have a question after the office is closed. Mark sets up a bot that answers from what you have confirmed, or takes a message and hands it to a person.

Driftwood rests on the shore of a mountain lake.

These bots are an add-on to any plan for a mountain vacation rental. Prices are not set. The bot says it is a bot, and a real person can take over.

What it does

  • Answers a guest call after the office is closed, or sends a missed call text back
  • Answers common questions on the cabin website from facts you have confirmed
  • Follows up with someone who already asked about a stay
  • Can send guests a short note, and can ask for a review after a stay
  • Hands off to a real person

How it works

  1. You tell Mark how guests reach you, and which facts are safe to say, such as check-in, parking, and who to call if something goes wrong.
  2. He sets up the bots that fit. Phone answering stays with the AI receptionist. Questions on the site stay with the website chatbot.
  3. The bot says it is a bot. It answers from those facts. If it does not know, it says so.
  4. A missed call can get a text back once business texting is registered with the carriers. That can take days to weeks.
  5. Mark approves anything that goes out in your name. If a person is needed, the bot hands off.

What the owner gets

  • A guest question answered or captured after the office is closed
  • A message when you are not at the cabin
  • Follow-up for someone who already asked, after you have approved the message
  • An add-on to any plan. Prices are not set.

Where this fits

Here's the deal. We work with businesses in Big Bear Lake, Lake Arrowhead, Running Springs, and Crestline, in the San Bernardino Mountains.

This page is for cabins and vacation rentals. Guests should see open dates before they get excited about a place they cannot book. That stays on the website. A bot does not invent availability.

The question after the office is closed

Many rental sites leave out the practical details. Those gaps turn into last-minute calls once a family is already up the mountain. Weather, parking, an emergency contact, and what to do if the heater stops are the kinds of questions that come up. The owner is usually not on the property.

A guest may call, or use the chat on the site, after the office is closed. The AI receptionist can answer, send a missed call text back, take a message, or book or route if you have said how booking should work. The chatbot answers from the facts you confirmed and collects a name and a way to reach the guest when it does not know.

The site should still name a clear emergency contact. The bot takes a message and hands it to a person. It does not pretend a heater is fixed.

Notes, reviews, and the books

Someone who already asked about a stay can get a text or an email. There are no outgoing AI calls without consent. A short note to guests can go out as a newsletter after Mark reviews it.

A review request can go to a guest after a stay, using names and emails you share. No rewards for reviews, and no asking only happy guests. A new review can get a draft reply for you to approve.

If an invoice is already on the books, or you have receipts for supplies, those are separate bots. A weekly note can tell you what the bots did. Mark reviews that note first.

The same honesty rules

The bot says it is a bot. It asks before it records, because California requires everyone on the call to agree. It does not place outgoing AI calls without consent. It hands off to a real person. Results are not guaranteed. This page is not legal advice.

A bot does not promise more bookings. Rankings, calls, bookings, leads, sales, and revenue are not guaranteed.

Prices are not set. It is an add-on to any plan. Call (909) 443-2260.

When the question comes in by phone, that is the AI receptionist.

When it comes in on the cabin site, that is the website chatbot.

Someone who already asked can get lead follow-up.

The cabin website itself, including open dates and what guests need on the road, is websites for vacation rentals.
